Accounts Officer
Permanent full time - Hybrid

The Role

 

In collaboration with the other Accounts Officers, this position is responsible for the development, implementation and delivery of accurate and timely statements to our Consumer Directed Care (CDC) clients including Home Care, DVA and CHSP clients, with a focus on coordinating and streamlining efficient client services and financial data from a variety of internal and external sources. 

 

Kay Result Area

  • Efficient and accurate processing of invoices, reconciliations, vendor data maintenance, and timely handling of supplier enquiries.
  • Accurate preparation of resident billing, management of resident accounts, monitoring and recovery of arrears, and maintenance of sundry debtor accounts.
  • Timely and accurate reconciliation of Flexi credit card acquittals, ensuring compliant documentation.
  • Support month‑end and year‑end processes, preparation of audit documentation, and adherence to accounting standards, GST requirements, and internal policies.

Responsibilities:

  • Review, verify, and accurately process invoices and payment requests in accordance with Delegations Authority Policy, ensuring correct General Ledger coding and timely payment (EFT, wire transfers, checks).
  • Reconcile accounts payable transactions and vendor statements, investigating and resolving discrepancies and completing resident on-charges as required.
  • Maintain vendor master data and manage the AP inbox/workflow, responding to vendor and stakeholder inquiries in a professional and timely manner.
  • Support month-end and year-end close processes, including accruals, reporting, and preparation of documentation for internal and external audits.
  • Ensure compliance with company policies, accounting standards, and regulatory requirements while contributing to continuous process improvements and system enhancements, and undertaking additional duties as directed.
  • Maintain accurate financial records for multiple Retirement Living villages, including processing monthly resident billing, managing entry contributions, exit entitlements, and reconciling resident accounts.
  • Support the effective recovery of outstanding ILU accounts, including monitoring arrears, following up on overdue balances, and liaising with residents to facilitate timely payment.
  • Collaborate with village managers and operations teams to ensure financial data integrity and support compliance with relevant legislation and industry regulations.
  • Manage sundry debtor accounts, including raising invoices and statements, maintaining accurate records, monitoring and following up outstanding balances, resolving account queries, performing regular reconciliations, and supporting the assessment and provision of doubtful debts where required.
  • Administer and reconcile Flexi credit card acquittals, ensuring timely submission, accurate expense coding, appropriate supporting documentation, and compliance with company policies.

What We’re Looking For

 

Qualifications

  • A qualification relevant to the role and function of this position

Experience

  • A strong working experience of accounting software packages
  • Previous experience in similar roles with Retirement Living or Aged Care experience.
  • Experience in MS Excel, Word, Outlook and thorough experience in accounts payable software programs, experience in Care Systems would be highly regarded

Essential Skills 

  • Excellent numeracy skills and knowledge of accounts payable processing systems and best practice, Corporate Credit Card acquittals, debtor management
  • An understanding of accounting entries and ability to perform supplier statement reconciliations
  • An understanding of GST and other financial legislative requirements impacting on the accounts payable function
  • Ability to foster a culture of customer service, ensuring actions and behaviours are in accordance with MiCare values
  • Capacity to take initiative and to work independently
  • Ability to communicate with all levels of the organisation, both written and verbal
  • An organised and methodical approach to systems and documentation
  • Attention to detail
  • Ability to effectively manage time
  • The ability to work in a culturally sensitive manner within an ethno-specific environment.
